Undergraduate Tuition Scholarship Plan for Dependents of Faculty and Professional Librarians
This plan provides tuition scholarships in the amount of $2000 per semester to eligible dependent children and spouses for tuition fees payable for courses taken for credit in University of Guelph programs leading to an undergraduate degree, an associate diploma, or graduate degree according to the following terms and conditions:
- The Plan provides scholarships for dependent children and spouses of:
- regular full-time, part-time tenured and probationary Faculty and Professional Librarians;
- retired full-time and part-time tenured Faculty or Professional Librarians in receipt of a University of Guelph pension and of deceased full-time and part-time tenured Faculty or Professional Librarians;
- long term disabled full-time or part-time tenured Faculty or Professional Librarians;
where the term “dependent children” means a natural, step, adopted child or ward, and, where
- the employee is entitled to claim an exemption for the child under the Income Tax Act.
OR
- the employee provides regular support for the child.
- When a faculty member or Professional Librarian to whom this plan applies terminates employment, children eligible at the effective date of termination may receive the scholarship for an additional period of time not to exceed two more semesters or equivalent.
- Dependent children entering a University must qualify for a scholarship by satisfying the University’s entrance requirement, EITHER BY meeting the academic standards of the program in which they are to be enrolled, OR possessing a minimum overall scholastic average of 70% upon admission; which ever is higher. Students admitted to a program but not meeting the scholarship requirement may become eligible by satisfying the academic continuation requirements of the program in which enrolled plus obtaining a minimum two semester cumulative average of at least 70%. In course students will maintain their scholarships by satisfying the academic continuation requirements of their program of studies
- Only full-time students are eligible to apply for a scholarship where the definition of full-time is the same as that used in the administration of the OSAP Program. This means that, at the University of Guelph, students registered in three, four, or five semester courses will normally be eligible.
- The maximum number of semester scholarships which can be received by any student is equal to eight. The maximum value of scholarships receivable in any one semester is $2000.
- For purposes of administering this plan, a year is defined from August 1 (i.e. it includes the twelve months up to July 31 of the following year.).
- By August 1, students wishing to receive a scholarship for any semester (Fall, Winter, or Spring) during the coming year (August 1 to July 31) must inform the Student Awards Section, Registrar’s Office of the semesters for which they wish to be awarded a scholarship during that period. Notification is to be made on forms available from the Student Awards Section of the Registrar’s office.
- Although there is no guarantee that late applications will be successful, students entering University for the first time will be permitted to apply for their scholarships up to the end of the registration period for the semester during which the scholarship is tenable. Late applications from in-course students are subject to review by the Appeals Committee.
- At the beginning of each semester, after the students’ registration has been confirmed, scholarship cheques will be sent to successful students. Payment of scholarships in advance of tuition payments being required can only be ensured if students meet the advance notification date of August 1. Confirmation of registration at the University of Guelph will be handled by the Student Awards Section using internal files.
- If within 30 days of submitting their application, an applicant has not received notice that the application has been denied, the applicant can assume the application has been accepted.
- Where late applications require the Fund to operate at a deficit, the University will lend the necessary monies to the Scholarship Fund. Repayment of such a loan plus reasonable interest must be made from the Fund before determining the amount of the scholarship for the following year.
Students registering at another University, (see final note) must fill out a separate application form which requires confirmation of registration by the Registrar of that institution. These students must also provide official documentation to the Student Awards Section which confirms enrolment in the other institution.
- The scholarship will be tenable at any recognized degree granting Canadian University which has in place a tuition/scholarship waiver system whose awards are tenable at University of Guelph. Consideration will be given in the future to extending the tenability of funding scholarship to non-reciprocating institutions should experience with the initial plan justify such an extension.
- These scholarships are tenable with all other scholarships and bursaries.
- Where uncertainty exists over the eligibility of the applicant Adjudication will be dealt with by an Appeals Committee whose composition will be determined by the Faculty Association.
- Contributions in each academic year to the tuition scholarship fund shall amount to 0.70% of the total salary budget for that academic year for regular full-time and part-time tenured Faculty and Professional Librarians within the University. As noted in Section 6, balances remaining in the fund at the end of May each year will be carried forward to the next year.
- By May 30 each year, the Tuition Scholarship Appeals Committee of the UGFA is required to submit to the UGFA and Vice-President, Academic, an Annual Reportsummarizing the operations and status of the scholarship fund as at April 30 of that year.
Note: Scholarship will be tenable only at the University of Guelph effective Fall 2004. Dependents enrolled at Queen’s or Western and awarded a tuition scholarship as at September 2003, will be grandparented for up to a maximum of 8 semesters as per the existing tuition scholarship plan for dependents.
